We also collect information from third parties about you in your capacity as a representative of your professional role or interests when we assess that you may have an interest in our trade fairs, events, or conferences. You Who Attend Our Events in Connection with Your Role or Profession
By “role” we mean all visitors or conference delegates to industry or trade fairs, industry or professional attendees at public fairs, as well as those holding a position of trust. In order for you to purchase tickets, conference passes, or other products for your visit to the event, fair, or conference, you are required to provide certain personal data to us. The information that is mandatory will be indicated during the registration process when you place your order or booking. This information is necessary for you to complete your order.
When you register for our events, you consent to the fair or conference using your name, job title, and the company you represent to publish a public list of participants at the event. The participant list is used in our event marketing and will be published on our websites and in emails. The list may also be linked to social media and sent via email to other event participants.
You may withdraw your consent at any time if you no longer wish for us to use your information in this way. To do so, please contact us at info@liveexpo.se. A withdrawal of consent does not affect the lawfulness of processing based on your consent prior to its withdrawal.
When you attend one of our events, fairs, or conferences in your professional capacity, we process your personal data primarily for the following purposes:
- To register and manage your event registration
- To communicate with you before and during the event, e.g., to send you relevant information
- To send information about similar events that we believe may be of interest to you
Once you have registered for one of our events, fairs, or conferences, our communication with you will include, among other things:

You Who Attend One of Our Trade Fairs/Events/Conferences Where We Provide a Visitor Badge/Name Tag
When you arrive at the fair, we need to scan your visitor badge in order to grant you access to the event. While you are at the fair, exhibitors, sponsors, industry organizations, speakers, or other parties may request to scan your badge/name tag. These parties will then have access to your personal data and will become independently responsible for that data. You decide whether to allow someone to scan your badge/name tag and thereby provide information to external parties.
Who Has Access to Your Personal Data?
As a general rule, your personal data is processed only by us. However, we collaborate with other companies and organizations that may access your personal data if it is necessary to fulfill our obligations to you as a participant, or if the recipient is an external or internal service provider engaged to assist us technically with any part of our event.
Some fairs are co-owned or sponsored by other parties. In such cases, personal data and event marketing may be handled by these parties. The respective fair’s website will indicate which sponsors have access to your data.

Your personal data will be shared with service providers to enable us to manage your registration for the fair, conference, or event—for example, with providers that supply ticketing systems, conference registration, and logistics.
Publication: Your name, job title, and the company you represent may be used to publish a public list of participants at the event. If you use a ticket code when registering, which you have received from an exhibitor or a partner, we will share your contact details—such as your postal address, email address, and mobile number—with the exhibitor or partner who provided you with the code.
We may share photos or videos in which you, as a participant, are visible for use in our marketing, digital channels, as well as the channels of exhibitors and partners. All of these parties may share images and videos from the event, in which visitors, exhibitors, partners, participants, speakers, and other attendees are visible.
If you choose to allow exhibitors, sponsors, partners, industry organizations, speakers, or other parties attending the fair to scan the barcode on your badge/name tag, which contains personal data about you, the information will be provided to the party that scans your barcode. They will then process your data as a data controller.
You Who Attend One of Our Public Fairs/Events as a Private Individual
This section applies exclusively to public fairs, not trade fairs. It is indicated on each fair’s website whether the event is a trade fair or a public fair; if you are unsure, please contact us.
In order for you to purchase tickets, conference passes, or other products for your visit to the fair or event, you are required to provide certain personal data to us. The information that is mandatory will be indicated in the registration form when you place your order.
When you attend one of our public fairs or public events as a private individual, we process your personal data primarily for the following purposes:
- To register and manage your registration for the fair or event
- To communicate with you before and during the fair, e.g., to send you relevant information
- To send information about similar fairs that we believe may be of interest to you, within a period of two years
Once you have registered for one of our fairs, our communication with you will include:

You Who Are an Exhibitor, Sponsor, or Partner at Our Fairs/Events/Conferences
By “exhibitor, sponsor, or partner,” we mean anyone who is an exhibitor or a representative of an exhibitor. The processing is carried out because you register and participate as an exhibitor or representative of an exhibitor.
When you participate as an exhibitor at our fairs, we process your personal data primarily for the following purposes:
- To carry out and manage your booking and meet your needs at the fair
- To provide you with access to exhibitor services both on-site and before the event/fair
- To communicate with you before and during the fair/event/conference, e.g., to send information and other materials
- To send information and marketing about when the fair will be held next, as well as similar fairs that we believe may be of interest to you
- To market and provide information about your participation in the fair/conference/event
Once you have registered as an exhibitor for one of our events, our communication with you will include:

You Who Collect Personal Data from Visitors at a Fair/Event/Conference
All visitors at a trade fair receive a visitor badge containing their personal data. As an exhibitor with us, you can order equipment to scan these visitor badges so that you can scan attendees. The visitor chooses whether to provide their information and thus have their badge scanned. If you, as an exhibitor, scan a badge, your company becomes the data controller for that contact in accordance with applicable GDPR regulations.

Other Information
How Long Do We Retain Your Data?
If you are professionally active within a certain industry or have attended a trade fair (all trade fair visits are for professional purposes, which is a requirement for attendance) and we have events within that or a related industry, we will retain your data as long as you are an important contact for us in our professional relationship. We regularly perform data clean-ups to update our database, and if we become aware that your job responsibilities have changed or you have changed employer, your data will be updated or deleted. You can also choose at any time to unsubscribe from marketing or contact us to have your data deleted. The above applies also to all exhibitors, partners, sponsors, presenters, speakers, and other participants in the fair’s content.
If you attend a fair as a private individual (only possible at public fairs) or contact us within the public fairs business area as a visitor, we retain and process your personal data for two years. Each time you revisit a fair or contact us again, a new two-year period begins. You can also choose at any time to unsubscribe from marketing or contact us to have your data deleted. The information regarding private individuals does not apply to exhibitors, partners, sponsors, presenters, speakers, or other participants in the content of public fairs; these are treated as professional contacts.
Consent: You always have the option to give your consent for marketing from us. In this case, there is no time limit for how long we process your personal data. You can choose at any time to unsubscribe from marketing or contact us to have your data deleted.
External Sources of Information
Your personal data may have been obtained from external sources. We regularly use external databases from third parties, such as trusted business partners or data partners (e.g., Bisnode), for updating information, acquiring new contacts, and prospecting. Data Cleaning and Database Updates
It is important for us to maintain an accurate database, and we carry out several activities, including the following measures:
- Ongoing cleaning and updating of databases following contact with our customers
- Ongoing cleaning and updating of databases after mailings

- Ongoing cleaning and updating of databases based on legitimate interests assessment, relevance, and timing

Photography and Filming from Surveillance Cameras
To ensure security during our events, cameras are installed at the venues and parking areas. These cameras only record and are intended for monitoring and security purposes, and they comply with the privacy policies of the respective halls.
Photography and Filming of Our Fairs/Events/Conferences
During our events, photographers may take pictures or film exhibitors, visitors, and other participants attending the event. These images may be used for promotional purposes for the event, in printed materials or digital channels. If you do not wish to appear in these photographs or videos, you must contact the event management to discuss whether it is possible to prevent this. The fair is a closed venue, and photography and filming are part of the event. All photography and filming are conducted respectfully and are intended to enhance the experience of visitors and exhibitors.
Your Rights to Influence How We Process Your Personal Data
Right to rectification: You can request that we correct any inaccurate personal data or complete it free of charge.
Right to withdraw consent: You can, under applicable law, withdraw your consent to the processing of personal data at any time. Withdrawing your consent does not affect the legality of processing carried out based on your prior consent. Please note that if you withdraw your consent, you may no longer be able to benefit from certain services that require the processing of personal data.
Right to erasure: If you request that we delete your personal data, we will do so, except where there is a legal reason not to.
